Privacy policy

Space Coast Aquarium Society is a volunteer-run aquarium hobby club. This policy covers the club membership website and the messages the club sends. Questions: socials@spacecoastas.org.

• Your name, and a preferred name if you give one.
• Contact details: email address, mobile number and mailing address.
• Membership details: member number, join date, membership type and term dates.
• Payments you report or make for membership, events and tables.
• Event registrations, forms you complete, and award program entries you submit.
• Your messaging choices, including whether you agreed to text messages, when, and the wording you were shown.

• To run your membership and tell you when it is time to renew.
• To handle event registrations, table reservations and payments.
• To send club newsletters and announcements you have asked for.
• To run the breeder and horticultural award programs.
• To keep accurate club records and financial history.

We do not sell your information, and no mobile information is shared with third parties or affiliates for marketing or promotional purposes.

Mobile numbers and text message consent are used only to send you the club messages described in our messaging terms. We share numbers with our text messaging provider only so the messages you asked for can be delivered. Reply STOP to any message to stop them.

Message frequency varies, with no more than about 4 messages per month. Message and data rates may apply.

Members see their own information and, where applicable, their household's. Club officers see only what their role requires: membership officers see member records, the treasurer sees payments, event managers see event registrations, and award reviewers see entries in the program they review. Private officer notes are never shown to members. Public event or newsletter links never reveal member contact details or balances.

Mobile numbers are never published. They do not appear on any public page, and other members cannot see them — only you and the club officers who need them for membership, payments, events or award programs.

We use service providers to host the website and database, send email, and send text messages. They handle information only to provide these services to the club.

Membership, payment, award and consent records are kept as part of the club's history. You can ask us to correct your details at any time, and to remove details we are not required to keep.

• Update your contact details and messaging choices in your member portal.
• Reply STOP to any text message to stop text messages.
• Use the unsubscribe option in club emails, or email us.
• Ask to see, correct or remove your information by emailing socials@spacecoastas.org.

Youth memberships are arranged through a parent or guardian, who provides the contact details we use.
